Universal Taxes & More (“UTAX+,” “we,” “us,” or “our”) is a tax preparation, bookkeeping, payroll, notary and document services office at 3401 Pelican Landing Pkwy #2, Bonita Springs, FL 34134. This Privacy Policy explains what information we collect, how we use and protect it, and when we share it — when you visit utaxplus.com, use our client portal (os.utaxplus.com and iq.utaxplus.com), sign up for our text messages, or engage us for services (together, the “Services”).

The short version. We do not sell your personal information. We never share your mobile number or text-message consent with anyone for their own marketing. Your tax return information is protected by federal law and used only to serve you. Reply STOP to any text to opt out, and call or email us any time to see, correct or delete your information.

1. Information we collect

Information you give us

  • Contact and account information — your name, email address, phone number, mailing address and client-portal login.
  • Tax and financial information — documents and details you provide so we can do the work, such as identification, income statements, expense records, payroll data and prior tax returns.
  • Communications — messages, appointment requests, website form submissions, and texts or calls with our office.
  • Text-message choices — your mobile number, which messages you agreed to receive, the date, time and way you gave consent (including the form and wording you agreed to), your language, and any opt-out or help requests.

Information from services you connect

  • QuickBooks Online (Intuit) — if you connect your QuickBooks Online company to our portal, we access your accounting data through Intuit’s secure APIs only after you approve the connection on Intuit’s authorization screen. Depending on the work you engage us for, this may include company information, customers, invoices, accounts, transactions and financial reports.
  • Payment and scheduling providers — such as Square, when you book an appointment or make a payment.

Information collected automatically

  • Device and usage information — such as IP address, browser type and the pages you visit; privacy-friendly website analytics that count visits and clicks; and storage in your browser that remembers your language and lets the site work offline. We do not use advertising cookies.

2. How we use information

  • To provide our services — tax preparation, bookkeeping, payroll, business advisory, notary, translation and document preparation.
  • To run the client portal, exchange documents securely, send invoices and process payments.
  • To contact you about appointments, deadlines and your engagement.
  • To send the text messages you asked for (see Section 4).
  • To keep the Services secure, prevent fraud and meet our legal and professional obligations.
  • To understand how our website is used and improve it.

Tax return information. Federal law (26 U.S.C. § 7216 and its regulations) strictly limits how tax return preparers may use or disclose tax return information. We use your tax return information only to prepare and file your returns and to provide the services you engaged us for, unless you give us written consent or the law otherwise permits it. Our marketing text list is built only from people who sign up for it — we never add anyone to it from tax return information.

3. QuickBooks and connected-app data

When you connect QuickBooks Online or another third-party account to our portal:

  • We access only the data needed to perform the services you engaged us for.
  • We do not sell, rent or trade your QuickBooks data, and we do not use it for advertising.
  • You may disconnect the integration at any time from your Intuit account settings or the QuickBooks “Apps” menu. When you disconnect, our access tokens are revoked and we stop retrieving data from your account.
  • Copies of data already incorporated into your books, workpapers or filings may be kept as described in Section 7.

4. Text messages (SMS)

We offer two text-message programs, and you choose each one separately:

  • UTAX+ Text Updates — recurring automated marketing messages: tax-season and deadline reminders, news, promotions and announcements about our services.
  • UTAX+ Account Alerts — messages about your appointments, documents and services: confirmations, reminders, document requests and status updates.

You join only by giving us your express consent — for example, by checking a box on our text-alerts form. Consent is not a condition of buying anything. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. Full program details are in our SMS Terms & Conditions.

Your mobile number stays with us. We will not sell, rent or share your mobile phone number, text-message opt-in data or consent with any third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are excluded from every sharing category in Section 5. We disclose them only to the service providers that deliver our messages for us (such as our texting platform and wireless carriers), who may use them only for that purpose.

  • We keep a record of your consent and opt-out choices for as long as needed to honor them and to meet legal requirements.
  • We will never ask for your Social Security number, bank account, passwords or IRS PIN by text message.

5. How we share information

We do not sell your personal information. We share it only:

  • With service providers that help us operate — such as secure hosting, document storage, e-signature, payment processing, email and messaging tools — who must protect it and use it only to provide services to us.
  • With tax authorities and agencies — such as the IRS or state agencies, when filing returns or forms you engaged us to prepare.
  • With your consent — for example, when you ask us to share records with your bank, attorney or another advisor.
  • When required by law — to comply with a subpoena, court order or other legal process, or to protect our rights and the security of the Services.

None of these categories includes sharing your mobile number or text-message opt-in data or consent with third parties or affiliates for their marketing.

6. Security

We use reasonable administrative, technical and physical safeguards to protect your information, including encryption of data in transit, access controls and secure third-party infrastructure. No method of transmission or storage is 100% secure, but we work to protect your information consistent with professional standards for tax practitioners.

7. Retention

We keep client records as long as needed to provide our services and to meet the legal, regulatory and professional record-keeping requirements for tax preparers (generally at least three years, and longer where required). We keep text-message consent and opt-out records for as long as needed to honor your choices and show compliance. When information is no longer needed, we dispose of it securely.

8. Your choices and rights

  • Text messages: reply STOP to opt out at any time (we also honor QUIT, END, REVOKE, OPT OUT, CANCEL, UNSUBSCRIBE, and the Spanish ALTO, PARAR, CANCELAR and BAJA), or tell us any other reasonable way — by phone, email or in person. Reply START to rejoin.
  • Access, correction and deletion: contact us to request a copy of, a correction to, or deletion of your personal information, subject to records we are legally required to keep.
  • Connected accounts: you may disconnect linked accounts (such as QuickBooks Online) at any time.
  • Email: you may opt out of non-essential emails by following the instructions in the message or contacting us.

9. Children

Our Services are intended for adults and businesses. We do not knowingly collect personal information from children under 13. Information about dependents is collected only from a parent or guardian for tax preparation purposes. Our text-message programs are not directed to children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page with a new effective date and, for material changes, give additional notice through the Services. We will not use your mobile number or consent in a materially different way without your permission.
